Outlook / Microsoft 365 Sync Troubleshooting

If you’re having trouble connecting Microsoft 365 or your Outlook calendars to Apptoto, it may be due to the permission settings your company has configured in Microsoft 365. These settings are managed in your organization’s Microsoft Entra ID service (formerly Azure Active Directory or Azure AD).

This guide walks admins through enabling access so users can connect their accounts and sync their calendar and contact data to Apptoto.

What and Why This Happens

Microsoft Entra is a service that helps your company control who can access what in your organization. It allows your IT team or an admin to manage users, their devices, and the apps they use.

Often, companies prevent team members from granting third-party applications access to their company’s data without administrator review and approval to ensure the app meets security and compliance standards.

Granting Users Access to Use Apptoto

You may see one of the two permission screens below when connecting Microsoft Outlook, Microsoft 365, or another Microsoft account to Apptoto. Follow the steps in the section that matches the screen you see.

Need admin approval

  1. If you see the screen above when attempting to sync your Microsoft property to Apptoto, you’ll need to work directly with your Microsoft Admin to get Apptoto approved before you can sync your calendar.
  2. Option 1: Have your admin use the link above to sign into their Admin account, review Apptoto’s permission requests, and approve the app.
  3. Option 2: Have your administrator log in to the “Microsoft Entra Admin Center” and proceed with the following steps.
    1. Click “Enterprise Apps” then “Consent & Permissions.” Microsoft Entra enterprise apps and consent and permissions tabs
    2. In the “User consent settings” tab, have the Admin temporarily set the “User consent for applications” level to “Let Microsoft manage your consent settings,” then click “Save.”In Microsoft Entra, allow Microsoft to manage consent to apps setting
    3. Have the Apptoto user navigate back to either the Appointments tab or the Settings > Integrations tab to resync their Microsoft connection.
  4. Option 3: If your administrator doesn’t want “Let Microsoft manage your consent settings” (even temporarily), there is an additional option.
    1. Have your administrator navigate to “Enterprise Apps” then “Consent & Permissions” in the Microsoft Entra Admin Center.
    2. Leave “User Consent Settings” set to “Do not allow user consent.Do not allow users to manage or approve consent setting in Microsoft Entra
    3. Click “Admin Consent Settings.”
    4. Set “Users can request admin consent to apps they are unable to consent to” to “Yes.” Allow users to request consent to access certain apps via admin approval in Microsoft Entra
    5. This will allow a user to request consent to use Apptoto by submitting a request via the process below.
      • Note: Admin approval is still required before the user can sync their calendar or contacts with Apptoto.

Approval Required (Request-Submitted)

  1. If you see the screen above when trying to connect your Microsoft account to Apptoto, enter a brief reason for your sync request, then click “Request Approval” to notify your administrator.
  2. An email notification will immediately be sent to your Microsoft Entra Administrator(s).
  3. Your administrator should log in to the “Microsoft Entra Admin Center” and proceed with the following steps.
    1. Click “Enterprise Apps” in the left-hand navigation menu.
    2. Navigate to “Admin Consent Requests” and click Apptoto under the “My Pending” list.Pending admin consent request screen for Apptoto to allow Microsoft syncing

    4. Review the data access Apptoto is requesting, then click “Accept” to grant the user(s) permission to use Apptoto. Administrative review of data permissions Apptoto is requesting for Microsoft outlook and calendar
  4. Once approved, the requesting user should return to Apptoto and resync their Microsoft connection in the Appointments or Settings>Integrations tab.

Note: The exact menu labels may vary depending on your Microsoft admin portal version.
